    FacilityApps & FA-Calc — technical requirements

    This document describes the technical baseline for a secure and reliable deployment of FacilityApps.

    1. Purpose and scope

    FacilityApps is a cloud-based software platform for cleaning and facilities organisations. It consists of:

    • A mobile app for operational staff, supervisors and other users on site.
    • A web portal for planning, management, monitoring and reporting.

    2. Supported operating systems

    2.2 Computers and laptops

    No local installation is required to use the web portal. The portal can in principle be used on:

    • Windows 11;
    • Recent macOS versions;
    • ChromeOS.

    3. Supported browsers

    The following browser standard applies to the web portal:

    4. Mobile device requirements

    Depending on the activated modules, FacilityApps may need access to the following device features:

    Recommended device specifications

    • At least 3 GB of RAM; preferably 4 GB or more.
    • At least 1 GB of free storage.
    • A working camera with autofocus for QR codes.
    • GPS functionality when location checks are used.
    • NFC functionality when NFC tags are used.
    • An active Google Play or Apple App Store account, or central distribution via Mobile Device Management (MDM).
    • Automatic installation of app and security updates.
    • An appropriate data plan when used outside Wi-Fi networks.

    5. Hosting and data storage

    FacilityApps is offered as a cloud solution. The cleaning company normally does not need to install or manage a local application server or database.

    5.1 Hosting and security

    The FacilityApps environment is hosted on Amazon Web Services (AWS) in the EU Ireland region. AWS provides the security and availability of the underlying cloud infrastructure, including data centres, hardware and network facilities.

    AWS holds several independent certifications and audit reports for its cloud infrastructure, including ISO 27001, ISO 27017, ISO 27018 and SOC reports. Applicability depends on the AWS services used and the setup of the FacilityApps environment.

    Current information is available via AWS Compliance.

    Traffic between devices, the FacilityApps portal and the cloud environment uses a secured HTTPS/TLS connection. The processing of personal data is subject to applicable European privacy law, including the GDPR.

    6. Authentication and user management

    The following minimum requirements apply to authentication and user management:

    • Every employee receives a personal account; shared accounts are not permitted.
    • Roles are separated, for example employee, site supervisor, area manager, customer and administrator.
    • Only authorised administrators may change accounts and permissions.
    • Accounts are deactivated immediately when employment ends.
    • The password policy aligns with the customer’s information security policy.
    • Administrators use multi-factor authentication (MFA) where available.

    7. Acceptance criteria before go-live

    The solution can be technically accepted when the following criteria have been met:

    • The app installs and starts on the selected Android and iOS devices.
    • The portal works in the agreed browsers.
    • Sign-in, password reset and SSO/MFA where applicable function correctly.
    • Roles and permissions are set up correctly.
    • GPS, camera, QR and NFC work where applicable.
    • Offline registration and later synchronisation have been tested.
    • Photos and documents can be uploaded successfully.
    • Firewall, proxy and content filtering do not block required components.
    • Integrations have been tested successfully.
    • The data processing agreement has been approved.
    • Key users and administrators have been trained.

    FA-Calc

    FA-Calc | Web-based calculation solution

    FA-Calc is our web-based calculation solution for creating, managing and running cleaning calculations. The application is centrally hosted and managed by FacilityApps and is accessible via a secure web environment (HTTPS).

    GraphOn AppController

    FA-Calc can be launched in the browser without a local installation of the full application.

    For local functionality, the GraphOn GO-Global AppController is installed locally on the workstation. Installation must be performed by a user with administrator rights or by the IT department.

    The AppController connects the centrally hosted FA-Calc environment with the local workstation, including for:

    • Opening and saving files locally
    • Exporting documents
    • Working with local files
    • Using local printers

    This keeps FA-Calc centrally hosted and managed while users can practically work with local files and printers from within the application.
