Registration & quality in the cleaning sector

Say goodbye to paper timesheets and the checklist on the toilet door. With digital time and attendance tracking and on-site e-ink displays, you can record who has worked and what has been done — and make this information visible to staff, managers and building users.

The paper doesn’t tell the whole story

Timesheets are filled in retrospectively, estimated or submitted late. The checklist on the toilet door says nothing about the actual cleaning job — an initial can be added in a jiffy, even if no one has actually been there. And when the client asks for proof, the search begins. The result: disputes over hours worked, no way of knowing whether staff arrived late or left early, and a lack of evidence to demonstrate quality when someone asks for it. That is precisely what our time-recording and quality-monitoring hardware solves.

    • Timesheets completed retrospectively or estimated → discussion regarding pay
    • Being late only becomes apparent afterwards → there’s no room to make adjustments
    • A checklist on the door means nothing → quality cannot be demonstrated to the customer

Hours and tasks automatically recorded and visible → staff data for greater efficiency.

Two ways to document your work

Time and attendance recording tracks who was present and for how long. The e-ink display shows what was done and when. Can be used separately, but is even more effective when combined.

    01 · Registration — Time & attendance recording

FacilityApps fully digitises paper-based time recording. You can choose the option that suits each location: a digital time clock for premises with several staff members, or an NFC/QR sticker used with the app for a small evening-only site with a single cleaner. Hours are recorded automatically (and can be adjusted manually). Scheduled versus actual hours are automatically compared. Real-time alerts for late arrivals or early departures. Export to Excel or integration with payroll systems.

    02 · Quality — E-ink display

Replace the traditional paper checklist with an e-ink display. It shows when the area was last cleaned and when the next clean is scheduled — immediately visible to anyone entering the room. The status is retrieved directly from the platform. Update by holding your phone against the screen for approximately 10 seconds. E-ink only consumes power when the screen changes: no cabling required. Can also be used for maintenance tasks outside the toilet block.

Everything in one dashboard — staff data and quality together

Hours, attendance and completed tasks are all brought together in FacilityApps’s Business Intelligence dashboards. You can see, by location, contract or employee, what was planned and what actually happened. A single source of truth for hours worked and work completed. Reports by location, contract or employee. Linked to planning, work orders and quality control. Export to Excel or integrate with your HR system.

From clocking in to visible results in four steps

The employee clocks in, carries out the work, updates the display — and you get an insight.

    01

    Clocking in

The employee clocks in using the time clock on site or scans the NFC/QR sticker using the app.

    02

    Carry out a task

He receives a notification for the area, carries out the work and ticks off the task in the app.

    03

    Refresh display

When leaving, he holds the phone against the e-ink display for approximately 10 seconds; the status updates.

    04

    Gaining an understanding

Hours and completed tasks are fed into the dashboards, ready for reporting and payment.

Which type of registration is suitable for which location?

There is no single right solution. The type of premises and the number of staff determine what works best.

    1. Premises with several staff members → Digital time clock

A single fixed point where the whole team clocks in and out.

    2. Small evening venue, one cleaner → NFC or QR sticker + app

No need to invest in hardware; your own phone will do.

    3. Different locations each day → Sticker per property + app

Registration is always linked to the correct location.

    4. Toilets with high visitor numbers → E-ink display

Visitors can see straight away when cleaning is taking place.

    5. Routine maintenance tasks → E-ink display

Displays the last and next scheduled service for the installation.

Why cleaning companies are switching to this

    No discussion about hours

Hours worked are objectively recorded on site. This saves on corrections and hassle when it comes to paying staff.

    Make immediate adjustments

Real-time notifications for late arrivals or early departures, so you can take action on the same day.

    Visible quality

The building user can see on the display when cleaning has taken place. Fewer complaints, greater confidence.

    Paper out the door

No more timesheets and no more checklists that get filled up, go missing or are completed after the event.

    No duplicate entries

Data is automatically fed into Excel, your accounting system or your HR and payroll system. You only need to enter the data once.

    One platform

Recording data is integrated into your planning, work orders and quality control — it’s not a separate silo of tools.

    Questions about registration and quality

What does ‘registration and quality’ cover?

Registration & Quality encompasses the hardware used to record who has worked and what has been done: digital time and attendance recording on site, and e-ink displays that replace paper checklists. Together, they provide staff-related data to improve operational efficiency and offer visible proof of quality to the building user.

How does digital time and attendance recording work?

FacilityApps fully digitises paper-based time recording. Depending on the location, you can choose the most suitable solution: at a venue with several staff members, a digital time clock is handy, whilst at a small evening venue with just one staff member, an NFC or QR sticker used in conjunction with the app works better. The hours worked are automatically recorded and can be adjusted manually.

Can I compare scheduled hours with hours actually worked?

Yes. The system automatically compares the scheduled hours with the hours actually worked. Managers receive real-time notifications when an employee arrives late or leaves early, so you can take immediate action rather than simply noting the issue after the fact.

What is an e-ink display used for in the cleaning industry?

An e-ink display is a small on-site screen that replaces the traditional paper checklist. It shows when a task was last carried out and when the next one is due. As e-ink only uses power when the screen changes, it has a long battery life without the need for cables.

How is an e-ink display updated?

The cleaner receives a notification to clean the room and ticks off the task in the FacilityApps-app once it is complete. When leaving the room, they hold their phone up to the e-ink display for about ten seconds, after which the screen shows the most recent status. No paper, no pen, no separate system.

Can time recording be linked to payroll?

Yes. All recorded data is available via Business Intelligence dashboards and can be exported to Excel or linked directly to your payroll or HR system. This helps you avoid duplicate data entry and error-prone manual data entry.

Why is an e-ink display better than a paper list?

A paper list can be filled in retrospectively, may become full or go missing, and says nothing about what actually happened. The e-ink display retrieves its status directly from the platform, so what the visitor sees corresponds to the recorded task. This makes quality visible at the very moment it matters.
